This Privacy Policy explains how the School Wala Android app collects, uses, stores, shares, and protects information for authorized school ERP users, including school administrators, teachers, non-teaching staff, parents, and approved platform users.

App and service purpose
School Wala is a school management application used for authorized school administration, academic records, attendance, staff management, salaries, fees, homework, reports, ID cards, notifications, communication, and related school workflows. The app is not a public social network and is not used for advertising to children.
Information we collect or process
- School registration request information: When a school uses the "Want to Get My School on School Wala" option in the app, we may collect school name, contact person name, WhatsApp/mobile number, email address, school city/address, submitted requirements or details, app source, device model, IP address, and browser/app technical information.
- Account, login, and Google Sign-In information: We process name, username, role, permissions, school assignment, mobile number, authentication details, login status, and active academic session. If a user chooses Google Sign-In, we may receive the user's verified Google email address, display name, unique Google account identifier, and, where provided by Google, a profile image URL. A Google ID token is sent to the School Wala server to verify the user's identity and to link or create the School Wala account. We do not receive the user's Google password and do not request access to Gmail, Google Drive, Google Contacts, or the contents of the user's Google files.
- Google-based school registration: When an eligible user creates a new school administrator account using Google Sign-In, we also collect the school name, school address, and contact mobile number. This information is used to create and configure the school and administrator account, including trial access where applicable.
- Student and parent information: student name, class, section, roll number, SR number, date of birth, gender, address, parent/guardian details, contact numbers, admission details, transport details, ID card details, and academic records.
- Staff and financial records: staff profile, role, attendance, leave, salary or payroll records, and school fee information such as fee amount, payment date, payment method, receipt number, concession, and outstanding amount. School Wala does not collect payment-card or bank-account credentials unless a separately disclosed payment service is enabled.
- School records: attendance, leave applications, homework, timetable, exam schedules, results, admit cards, fee records, receipts, concessions, reports, promotions, roll numbers, school profile, and communication records.
- Photos and files: student photos, ID card photos, school logos, homework images, report files, receipts, downloaded documents, and uploaded school-approved media.
- Local app storage and synchronization: The Android app may store the school portal address, authentication token, user and school profile, enabled modules, notifications, and limited offline or cached ERP data in the application's private device storage. Periodic background synchronization may update this information when internet connectivity is available. Local session and cache information is cleared on logout, and device-local app data is normally removed when the app is uninstalled. Uninstalling the app does not automatically delete information stored on School Wala or school servers.
- Device and technical data: app version, Android version, device manufacturer and model, IP address, server URL, support or error information, Firebase Cloud Messaging registration token, Firebase Installation ID, and related Firebase user-agent information. These details are used for authentication, compatibility, security, troubleshooting, and delivery of school notifications.
Google Sign-In
Google Sign-In provides an alternative to School Wala username and password authentication. Google account information is used only to verify identity, prevent duplicate or unauthorized accounts, link an existing School Wala account, or create a new School Wala school administrator account when requested by the user. School Wala does not use Google account information for advertising.
Removing School Wala access from the user's Google Account, logging out, or uninstalling the application does not by itself delete the user's School Wala account. Account deletion must be requested through the deletion process described below.
Purpose of use
We use school registration request information only to contact the school, understand its requirements, process onboarding inquiries, provide product or service information, create or configure school access where approved, provide support, prevent misuse, and maintain service records.
Android permissions and why they are used
- Camera: used only when an authorized user captures or updates student ID card photos or other school-approved images.
- Storage or downloads: used to save reports, ID cards, receipts, and other generated school documents. On older Android versions, legacy storage permission may be requested only for saving files.
- Notifications: used to send school alerts such as notices, attendance updates, fee reminders, homework updates, leave status, and administrative messages.
- Internet and network state: used to connect to the school portal, authenticate users, verify actual internet availability, sync records, and show offline/online or server-connection status.
How we use information
We use information only to provide and maintain school ERP functionality, authenticate users, show role-based data, process school records, generate reports, deliver notifications, provide support, secure the service, prevent misuse, and comply with applicable legal or school-authorized requirements.
We also use information to verify Google Sign-In, link or create accounts, manage school registration and trial access, maintain authenticated sessions, synchronize offline data, register devices for notifications, deliver application updates, and prevent duplicate, fraudulent, or unauthorized account creation.
Sharing of information
School registration request data is available only to authorized School Wala supreme/platform administrators in the web portal. We do not show this information publicly or sell it. We may share it only with trusted service providers or team members when required for hosting, support, onboarding, security, legal compliance, or service operation.
School information is visible only to the registered school and authorized users according to their role and permissions. We may use trusted service providers for hosting, storage, notifications, support, security, maintenance, and payment or communication services where enabled. We may disclose information when required by law, regulation, legal process, school instruction, or safety/security needs.
Service providers used by the Android application may include Google Identity Services or Google Play services for Google Sign-In, Firebase Cloud Messaging and Firebase Installations for push notifications, Google Play for application updates, and hosting or infrastructure providers used to operate School Wala. These providers process limited information for the applicable service and according to their terms and privacy practices. We do not provide this information to advertising networks.
Data sale and advertising
We do not sell student, parent, teacher, staff, attendance, fee, salary, photo, Google-linked account, notification token, or other personal information. Student data and Google account information are not used for behavioral advertising.
Children and student data
The app may process information about students, including minors, only for school administration, parent communication, attendance, reports, homework, ID cards, exams, and related academic purposes. The app is intended for authorized adults and school-approved users, not as a child-directed entertainment app.
Security
We use reasonable safeguards including login authentication, Google token verification, role-based access control, permission-based screens, secure server infrastructure, monitoring, backups, authentication tokens, and encrypted HTTPS transmission for Android app network requests. No digital system can be guaranteed completely secure, so users must protect usernames, passwords, Google accounts, devices, and school portal access.
Retention
School records are retained according to school instructions, subscription status, academic requirements, backup schedules, support needs, legal obligations, and legitimate security or audit requirements. Some records may be retained when required for accounting, dispute resolution, fraud prevention, or legal compliance.
Registration request records may be retained for inquiry handling, follow-up, onboarding, support, audit, security, and legal or business record purposes. A school may contact School Wala support to request correction or deletion of its inquiry details, subject to verification and lawful retention requirements.
Google-linked account details are retained while the School Wala account remains active and for any additional period required for security, dispute resolution, or legal compliance. Notification tokens are retained while the device remains registered for notifications. Local authentication and cached information remains until logout, app-data clearing, or uninstall.
Eligible account deletion requests are normally processed within 30 days after necessary identity verification. Backup copies of deleted account information may remain in restricted backups for up to 90 days before scheduled removal. Fee, accounting, academic, attendance, audit, fraud-prevention, or security records may be retained for a longer period where required by the registered school or applicable law.
Account and data deletion
Users can initiate deletion of their School Wala account and associated personal data inside the Android app from Settings > Request Account & Data Deletion, shown below Logout. Users who cannot access the app can submit a request without signing in at https://schoolwala.online/SchoolERP/index.php?route=account-deletion.
After a request is submitted, School Wala provides a reference number and may contact the requester to verify account ownership. An approved deletion includes the user's School Wala login account, active authentication tokens, Google account linkage, registered notification tokens, profile information, and other eligible personal information associated with that account. Account deactivation or freezing is not treated as completed deletion.
School-managed users may require verification with the registered school where a request affects institutional records. A school administrator who created a school through Google self-signup may initiate the request directly. If closing an entire school account would affect other users, School Wala will explain the consequences and verify the requester's authority before completing school-level deletion.
Some academic, attendance, fee, salary, accounting, audit, security, fraud-prevention, backup, or legally required records may be retained instead of deleted. Where practical, retained records will be restricted or de-identified and will not be used for unrelated purposes.
Uninstalling the app, logging out, or removing School Wala access from a Google Account does not automatically delete the School Wala account or server-side data.
User choices and responsibilities
- Use only authorized credentials issued or approved by the school.
- Do not share passwords or allow unauthorized access.
- Contact the school administrator for correction of student, attendance, fee, report, or institutional data.
- Use the in-app or public deletion-request process for account and associated personal data deletion.
- Contact School Wala support for app privacy questions, technical support, or deletion request assistance.
Policy updates
We may update this Privacy Policy when application features, service providers, legal requirements, or data practices change. The public policy page displays the latest update date. Material changes may also be communicated through the app or store listing where appropriate.
